Job Summary:

The HR Assistant is responsible of a variety of responsibilities and special projects as assigned. Provides information and assistance to employees, supervisors, managers, directors regarding policies, procedures; responds to routine questions or complaints; initiates problem resolution. Makes presentations, and conducts trainings as needed. Position serves as acting point person during Sr. Director’s absence. Duties include special reports, maintaining personnel records, reporting required certification expirations, handling unemployment disputes.  This role is also responsible for processing staff requisitions and PAN’s, preparing Open Requisition and Job Openings Reports, completion of EEO-1 and AAP Reports, verification of employment and preparation and distribution of staff service awards and revising job descriptions as requested.  Routinely deals with highly sensitive and confidential matters.


  • Supports VP with Attorney/Legal Inquires
  • Sits in on Employee Relations When Requested
  • Proofreads/Edits Handbook/Policy Changes When Requested
  • Prepares Training Materials When Requested
  • Handles Incoming Employment Verifications
  • Writes Employment Verification Letters Requested by Employees
  • Maintains Vacancy Tracker Company Wide
  • Prints Out Requisitions/Sends to Office Managers when requested
  • Logs In & Circulates Payroll Action Notices for Signature
  • Maintains and Runs Driver's License Abstracts
  • Alerts Benefit Specialist and HR Rep of Benefit Cancellation Dates & Vacation Payout
  • Enters Coaching, Corrective, Termination Notices into Kronos
  • Creates Coaching, Corrective Templates for Staff
  • Assists/Edits Staff with Coaching, Corrective, Terming Documentation
  • Enters Performance Evaluations
  • Tracks Unemployment, Prepare All Supporting Documentation to DOL
  • Writes Unemployment Appeals/Board of Review Correspondence
  • Represents Company in Unemployment Hearings
  • Prepares Salary & Benefit Surveys for both sides of company
  • Prepares Quarterly Multi-State Wage Reports for both sides of company
  • Tracks, Prepares, Purchases, Distributes Years of Service Awards Quarterly
  • Mentors, Supervises, Prepares Work Schedule for Intern
  • Provides Backup for HR Department in FMLA, WC
  • Prepares, Organizes Audit Materials
  • Provides Staff & Management support in area of expertise
  • Provides Additional Administrative Support when requested/needed




  • High School diploma or equivalent, plus one year experience in Human Resources or similar experience requiring a high level of interaction with employees throughout the organization is required.
  • Must be able to successfully complete a physical, drug screen and background check
  • Valid driver’s license in state of residence and no more than 6 points on driving record
